4. Approval List
Approval List2 (UI1)
The approval list process is useful for organizations with multiple approval steps or sensitive content that requires review before sending.
Typical use cases include:
- Large companies with internal approval hierarchies
- Publications or organizations with editorial review
- Sensitive or confidential content
- Emailings created by external marketing agencies that must be approved internally
The process of creating and using the approval list is similar to that of the test list.
To create an approval list, go to Lists and Contacts → Target groups → Approval Lists and click Create an Approval list (fig. 1).

fig. 1: To create an approval list click ‘create an approval list’ in ‘Contacts’ → ‘Target groups’ → ‘Approval lists’.
Add a description and select a contact filter or create one using the method described in the Test Lists section (fig. 2).

fig. 2: Add a description and choose/create a contact filter.
Click Create Approval list (fig. 3).

fig. 3: Click ‘create an approval list’ to finish the process.
The approval list has been finalised (fig. 4). Note: The approval contacts should be created as contacts in the system, similar to the test list setup.

fig. 4: The approval list is completed.
To activate the approval feature, Go to Settings → Mailings → Quality Assurance and enable the Approval Process (fig. 5).

fig. 5: Go to ‘Settings’ → ‘Mailings’ → Quality Assurance and enable ‘Approval process’.
Once enabled, the approval requirement should be configured (fig. 6).
Possible threshold values include:
- 50%
- 60%
- 70%
Approval Threshold Examples:
- With 2 contacts, 50% is reached if one person approves.
- With 3 contacts, 50% is not evenly divisible, so 2 approvals are required.
- With 4 or 6 contacts, the required number of approvals depends on the selected percentage.

fig. 6: Configure the approval requirements at one of the possible threshold values.
The emailing can only be sent after the required approval percentage has been reached.
Performing the approval process go to Mailings → Emailings → Drafts, open the emailing to be sent to the test list and click Checks & Tests tab (fig. 7). Locate the Approval Test option and click on the perform icon (a triangle enclosed by a circle) at the end of the row.

fig. 7: Open the emailing in ‘Mailings’ → ‘Emailings’ → ‘Drafts’, go to ‘Checks & Tests’ and click the perform icon next to ‘Approval process’.
Select the approval list to which you want to send the emailing (only one list is available in this example), then click Start a release dispatch (fig. 8).

fig. 8: Select the certain approval list and click ‘Start a release dispatch’.
The contacts in the approval list receive the approval request and optionally approve the emailing (fig. 9).

fig. 9: Contacts in the approval list receive the approval request and optionally approve the emailing.
A confirmation message indicating that the approval was successful will appear in a pop-up window (fig. 10).

fig. 10: A pop-up message confirms that the approval was successful.
The system highlights the completed test and the dispatch date in green (fig. 11).

fig. 11: The system sends out the test in real time.
Click the Results are up to date link to view detailed statistics and access the new release dispatch option (fig. 12).

fig. 12: Click ‘results are up to date’ to view the statistics and access the resend option.
The approval results are updated in real time. Once the required approvals are complete, the emailing can be sent.
